Front Desk Staff - Full-time

Anticipated start date:

March 2025

Salary: $16 - $19 per hour based on experience

We are seeking a friendly and organized Front Desk Secretary to join our team. The Front Desk Secretary will be the first point of contact for patients and visitors, providing excellent customer service and ensuring the smooth operation of the front desk. This position requires strong communication and organizational skills, as well as the ability to multitask in a fast-paced environment.

Responsibilities:

- Greet patients and visitors in a warm and professional manner
- Register new patients and update existing patient information in the electronic health record system
- Schedule patient appointments and manage the appointment calendar
- Answer phone calls, triage inquiries, and direct calls to the appropriate person or department
- Verify patient insurance information and collect co-payments or payments for services
- Assist with medical billing and insurance claims processing
- Maintain patient confidentiality and adhere to HIPAA regulations
- Assist with coordinating patient referrals to other healthcare providers or specialists
- Order and maintain office supplies and inventory
- Assist with general administrative tasks as needed

- Communicate patient's needs when they call


Requirements:

- Strong customer service and interpersonal skills

-  High school diploma or equivalent required; additional education or certification in office administration or medical office management is a plus
- Previous experience as a secretary, receptionist, or front desk coordinator preferred
- Excellent verbal and written communication skills
- Proficiency in using computer systems and office software (e.g., Microsoft Office)
- Familiarity with electronic health record (EHR) systems
- Ability to multitask, prioritize, and work efficiently under pressure
- Attention to detail and accuracy in data entry and record-keeping
- Ability to maintain patient confidentiality and adhere to HIPAA regulations
- Professional appearance and demeanor

Medical Assistant Part-Time

Salary: $16-$19 per/hour - based on experience

We are seeking a dedicated and compassionate Medical Assistant to join our team in a busy medical office. The Medical Assistant will play a crucial role in providing high-quality patient care and ensuring the smooth operation of our practice. This position requires a strong attention to detail, excellent communication skills, and a commitment to providing exceptional patient service.

Responsibilities:

- Assist healthcare providers with patient examinations, procedures, and treatments
- Prepare examination rooms and ensure they are clean and stocked with necessary supplies
- Take patient vital signs, record medical history, and update patient information in electronic health records
- Administer medications and vaccines as directed by healthcare providers
- Perform basic laboratory tests and collect specimens for testing
- Schedule patient appointments, manage patient flow, and maintain the appointment calendar
- Answer phone calls, triage patient inquiries, and relay messages to healthcare providers
- Assist with medical billing and insurance claims processing
- Follow proper infection control protocols and ensure a safe and sanitary environment
- Provide patient education on medications, procedures, and self-care instructions
- Maintain patient confidentiality and comply with HIPAA regulations

Requirements:

- Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA) certification preferred
- High school diploma or equivalent required; completion of a medical assisting program is a plus
- Previous experience as a Medical Assistant in a clinical setting preferred
- Knowledge of medical terminology, anatomy, and basic healthcare practices
- Proficiency in using electronic health record (EHR) systems
- Excellent communication and interpersonal skills
- Ability to multitask, prioritize, and work efficiently in a fast-paced environment
- Strong attention to detail and accuracy in documentation
- Ability to maintain patient confidentiality and adhere to HIPAA regulations
- Basic computer skills and familiarity with medical billing software
